We are the Data Fiduciary under India's Digital Personal Data Protection Act, 2023. Where the EU or UK GDPR applies, we are the Data Controller.

Playdawn traded as Playdawn Consulting, a sole proprietorship, from 2020 until the company was incorporated in 2023. Records created before then transferred to the company, and we remain accountable for them.

Candidates. First and last name, email, phone, LinkedIn profile URL, portfolio links, location, current and desired annual salary, notice period, work history, skills, and our notes from conversations with you. Later in a process, if you agree, identity or right to work documents, salary evidence, and reference or background check results. Section 4 has the detail.

Clients and business contacts. Business contact details, our correspondence, role requirements, commercial terms, invoices and payment records.

Website visitors. Device and browser information, IP address, pages viewed and where you came from.

People who use our forms. Whatever you send us, plus the email address or phone number you sent it from. For the salary calculator, the role details you enter and the email address we send the report to. The salary survey is anonymous. We do not ask for your name, email or phone there.

We do not ask for information about health, disability, caste, religion, sexual orientation, political views, trade union membership or criminal record. We do not knowingly collect data about anyone under 18.

Giving us your details is not required by law, but we cannot consider you for a role without them.

Where we rely on consent, you can withdraw it at any time and it is as easy to withdraw as it was to give. Withdrawing does not undo anything we did before. Where we rely on legitimate interests, you can object, and we will stop unless we have compelling grounds that override your interests.

This section applies to anyone we might put forward for a job: people who applied through our careers page, people we approached, and people who were referred to us.

4.1 Where we got your details

You applied, through our careers page at playdawn.com/jobs/open-roles. Until 2026 we also ran a careers page at careers.playdawn.com, hosted by Manatal. That page is closed and the data held there has been deleted. If you applied through it, your details are now held only in our own system.

We found you. Most records in our database start this way. We search professional networking platforms, job portals, public portfolios and studio credits for people whose experience fits a live role, and we use contact discovery services to find a work email or phone number. We collect professional information only.

Someone referred you. A candidate or contact gave us your name. We tell you who when we contact you.

A client sent you to us.

If we got your details from anywhere other than you, our first message says so and links here. Reply "remove me" and we delete your record. We do this at first contact, and in any case within one month of getting your details.

4.2 What we hold

From an application. First and last name, email, phone, LinkedIn profile URL, portfolio link if you give one, desired annual salary, current annual salary if you choose to give it, notice period, and the role you applied for. We do not ask for a CV. Our old Manatal page did require one, but those CVs were not carried across when we moved systems and we no longer hold them.

From sourcing. Name, public profile URL, current employer and job title, skills and experience shown on your profile, location, and a work email or phone number.

From talking to you. Notes on what you are looking for, salary expectations, notice period, visa or relocation position, and our view on your fit for particular roles. You can ask to see these notes.

Later in a process, if you agree. Identity or right to work documents, salary evidence, and reference or background check results.

4.3 What we do with it

We match you to roles, contact you about them, assess your fit, represent you to clients with your agreement, support you through the process, and keep you on file for future roles.

4.4 Sending your profile to a client

We name the client before we send anything. We need your agreement for each client, each time. Agreeing to one company is not agreeing to another. If you say no, you stay on our books for other roles.

Once a client has your details, they are independently responsible for that data. If you want it deleted from a client's systems, tell us and we will pass the request on. You can also contact them directly.

4.5 How long we keep your file

24 months from the last meaningful contact. That means an application, a reply, a call, or a booked meeting. Each one restarts the 24 months. If 24 months pass with nothing, we delete your record, after emailing you first so you can ask us to keep it.

We keep records longer only where the law requires it, or where there is an unresolved dispute.

4.6 Case studies and testimonials

We do not name candidates in published case studies without asking first and getting a clear yes. Case studies published without consent are anonymised. If you agreed and later change your mind, tell us and we will remove or anonymise it. The same applies to testimonials.

4.7 We never charge candidates

We do not charge candidates any fee at any stage. Our fees are paid by employers. If anyone asks you for money in Playdawn's name, treat it as fraud and tell us at info@playdawn.com.

We hold your business contact details, our correspondence, notes on your hiring needs, and contract and billing records.

We use this to deliver our services, to invoice, to keep in touch about roles, and to tell you about services we think are relevant. You can stop the last of those at any time by replying to any email or writing to info@playdawn.com.

Where a signed agreement governs your engagement, that agreement sets the commercial and confidentiality terms between us. This policy explains how we handle personal data. It does not change your contract.

Some clients are billed through Mars Edge Technologies FZCO in the UAE, an independent company we work with for billing in that region. Playdawn has no ownership in it and it does not receive candidate data.

We use AI tools to summarise CVs and profiles, draft messages, and, where a candidate has separately agreed, run recorded interviews.

If we invite you to an AI interview, we tell you it is AI before it starts, ask your permission to record and transcribe, and ask separately before sharing the recording with a named client. You can say no to an AI interview and still be considered for the role.

No decision about you is made by a machine alone. Every decision to shortlist or reject is made by a person at Playdawn. AI output is a working aid, not a score we follow. We do not use AI that claims to read emotion, personality or honesty from someone's voice, face or writing.

Clients. We send a candidate's profile to a client only after the candidate agrees to that specific client. After that the client is independently responsible for the data.

Service providers. Each one is contractually bound to process data only on our instructions.

A few are named because you deal with them directly. Until 2026 our careers page was hosted by Manatal at careers.playdawn.com, and that data has been deleted. Razorpay and Cashfree process payments. If you want the full list of providers holding your data, write to info@playdawn.com and we will tell you.

Others. Professional advisers. Courts, regulators or law enforcement where we are legally required. A buyer, if the business is sold.

We are based in India and most data stays here. Some service providers process data elsewhere, which may include the EU, the United States and Singapore.

For transfers out of the EU or UK we rely on the European Commission's Standard Contractual Clauses, or the UK International Data Transfer Addendum. For transfers out of India, the DPDP Act allows transfer to any country the Government has not restricted.

10. Your rights

You can ask us to:

  • show you everything we hold, including our notes

  • correct anything wrong or out of date

  • delete your record

  • stop using your data for a particular purpose, or stop contacting you

  • withdraw a consent you gave, including agreement to be sent to a client

  • give you a copy of your data in a portable format

  • act on the instructions of someone you nominate, if you die or become unable to act for yourself

Where GDPR applies, you can also ask us to restrict processing, and object to processing based on legitimate interests.

How to ask. Email info@playdawn.com, reply to any message from us, or use playdawn.com/data-rights. There is no charge. We reply within 30 days. The DPDP Rules allow up to 90 days for complex requests, and if we need longer we will tell you why.

If you are not satisfied, contact our Grievance Officer in section 13. After that you can complain to the Data Protection Board of India, or to your supervisory authority if you are in the EU or UK.

This policy is available in English or in any language listed in the Eighth Schedule to the Constitution of India, on request.

Cookies are small files a website stores on your device. Similar technologies include local storage and tracking pixels. We use the word "cookies" for all of them.

Your choice. When you first visit, a banner asks what you want to allow. Essential cookies always run, because without them the site does not work. Everything else stays switched off until you agree. You can change your mind at any time in cookie settings.

We use Google Analytics to understand which pages are useful and where visitors come from. We do not use it to identify you personally. Analytics data is kept for 14 months.

Embedded tools

Some pages embed tools from other companies, which may set their own cookies when the tool loads. Tally runs our job application form, salary calculator and salary survey. Calendly runs our booking pages. These providers set cookies under their own policies, which we do not control.

We do not use advertising or retargeting cookies. We do not sell data collected through cookies.

Controlling cookies yourself. Most browsers let you block cookies, delete existing ones, or warn you before one is set. Look under privacy in your browser settings. Blocking essential cookies may stop parts of the site working. To opt out of Google Analytics across all websites, Google provides a browser add-on at tools.google.com/dlpage/gaoptout.

We protect personal data with device encryption, individual accounts with two factor authentication and role based permissions, systems that are not exposed to the public internet, activity logs kept for at least 12 months, and daily encrypted backups held separately from our main systems.

We are a small company and we hold no security certification such as ISO 27001 or SOC 2. No system is completely secure. If a breach puts your data at risk we will tell the Data Protection Board of India without delay and give full details within 72 hours, tell you within 72 hours, and report to CERT-In within 6 hours where their directions require it.
